The use of the online pages and services of www.pio.gov.cy by the visitor/user requires the unreserved agreement with the following terms of use that apply to the sum of the content included on the website. Consequently, the visitor/user has to read these terms carefully before using the services of the website and if he/she is not in agreement, should not use the services and their content. The user/visitor is requested to check the terms of use content for possible changes. The Press and Information Office maintains the website www.pio.gov.cy in order to facilitate the public’s access to information produced by stakeholders of the public sector during the carrying out of their mission. At the same time, it must be noted that this information is not intended to act in lieu of legal documents and it does not constitute a legal interpretation.

Pubic stakeholders are making every effort to ensure that the information posted on the website is both accurate and infallible. Nonetheless, it cannot be guaranteed that every piece of information posted is accurate. When errors are identified, efforts are being made for them to be corrected.

In case of inconsistencies between a document posted on the website and a specified official document, the official document will be considered as valid in terms of its content.

3. PERSONAL DATA PROTECTION

3.1 General

The Press and Information Office is responsible for the processing of personal data of the visitor/registered user and it controls the processing of his data in the webpages of www.pio.gov.cy.

For the processing of your personal data as described below, the Press and Information Office abides by the following legal grounds:

•             Provision of services: In order for the visitor/registered user to be able to submit forms online, the processing of the personal data he/she provides upon registration and/or online submission, is necessary.

•             Legal Interests: The processing of personal data is necessary for the improvement of services provided by the Press and Information Office (processing of statistical and non-identifiable data), the detection of a fraud attempt as well as for ensuring the legal interests of the Press and Information Office.

•             Consent: Registered users are called upon to give their express consent to the following processing purposes: dispatch of informative messages. 

 

3.2 Information, processing and processing purposes:

The Press and Information Office informs the visitor/registered user, and the visitor/registered user acknowledges that he/she is aware of the following:

a)  Personal Data Processing

The Press and Information Office shall process the personal data of the visitor/registered user, as this is provided by him/herself upon registration and/or during the filling out of an online form, in order for the request for a service to be completed.

b) Submission of online forms, Personal Data Category and Processing Purposes:

1) Basic Processing

In order for a request to be processed through the website (www.pio.gov.cy) of the Press and Information Office, the following data might be requested:

•             full name (first name and surname);

•             ID / passport number;

•             capacity;

•             mass media organization /employer;

•             telephone number;

•             e-mail address.

The purpose of the basic processing of the data is the handling of the request, the dispatch of press releases/newsletters, contact with the user and the sending out of information relating to the request’s processing stages, the provision of clarifications regarding the request and in general, the confirmation and identification of the user when the need arises. The visitor/registered user is informed that the provision of the above mentioned mandatory personal data is necessary and that it constitutes a prerequisite for the proper handling of the request. For this reason, the visitor/user’s content is not required for this specific processing.

 

2) Processing that requires consent

For the sending out of press releases / newsletters to the registered user by the Press and Information Office and www.pio.gov.cy, the registered user should have previously given his/her express consent.  

The registered user has the option to recall at any time this consent and not receive any such communication by www.pio.gov.cy by sending a request via e-mail to the e-mail address: communications@pio.moi.gov.cy.

The visitor/registered user is informed that his/her personal data might be processed by the Press and Information Office without his/her consent in cases regarding the fulfillment of legal obligations, like for instance when the relevant data is requested in the context of audits by the competent supervisory and judicial authorities.

 

3) Data Recipients

 As regards the data which is necessary for the pursuit of each and any of the above mentioned processing purposes and in respect of the responsibilities of each recipient, the recipients of the data of the registered user are or may be:

i. The competent employees of the Press and Information Office;

ii. Audit authorities in the case of a relevant audit;

iii. External partners who provide internet services; to these partners the necessary data is transmitted with strict limitations and procedures for the fulfilment of their tasks. These companies use the data provided to them under the terms of use of www.pio.gov.cy exclusively pursuant to the instructions of the Press and Information Office.

 

4) Rights of the data subject

Each registered user, as a data subject, may exercise at any time his/her rights, as prescribed in the General Data Protection Regulation 679/2016 EU and particularly, in articles 12 until 23 thereof, and the national legislation, and more specifically:

i. the right to receive information and obtain access to the data processed by the Press and Information Office;

ii) the right to the limitation of his/her data processing;

iii) the right of correction or deletion of his/her personal data, in part or in whole, (right to forget);

iv) the right to object, that is to raise objections against the processing of his/her personal data, and

v) the right to portability of his/her data.

5) Personal data maintenance term

The data of the registered user shall be kept and processed by the PIO until the registered user requests the deletion of his/her account or, for any data processing performed with his/her consent, until he/she declares the wavering of his/her consent for the purposes of the provision of services of the Press and Information Office.

The Press and Information Office declares that no other use of personal data of the visitor/registered user shall be made for other purposes, other than those mentioned in the present policy without informing him/her ahead of time and, whenever required, without his/her consent.

4. SECURITY

The SSL (SecureSocketsLayer) protocol is currently the worldwide web standard for website certification among internet users and also for element encoding among users and web servers.
